About the role
We’re seeking a Legal Coordinator to provide administrative and operations support to the national Legal team that reports to our Group General Counsel (Group GC). You will be first point of call to assist with administration and coordination tasks and provide executive support to the Group General Counsel and Head of Legal Operations in the delivery of key initiatives in the legal operations space.
You’ll support the Legal team by helping them deliver and procure legal services in a smooth and efficient manner including through maintaining a high level of organisation and efficiency.

Day-to-day, you will:
Support the Head of Legal Operations to identify, explore and execute innovations and change projects that drive operational excellence in the delivery of legal services
Support the Legal team members to use team processes, tools and technology to deliver high quality legal services and maximise efficiency
Support the management and maintenance of the external legal panel
Implement a relationship management approach for panel law firms
Liaise with law firm practice managers and support staff to communicate processes, changes and escalate issues
Manage purchase orders and end of year and panel renewal processes for accruals, closing and reopening of PO’s
Provide administrative support to members of the Legal team including diary management for the Group General Counsel and the Head of Legal Operations
Manage team travel arrangements and onboarding of new team members
Coordinate the payment of suppliers and process expense claims
Organise the renewal of practicing certificates and collate time records of team members
Schedule and arrange team meetings and training sessions, including the annual team offsite, and liaison with guests and presenters
Oversee records management including loading executed documents to Legal365 and related filing and archiving
This role will suit someone with a curious mind and transferrable skills and experiences, including:
Stronge experience as a personal/executive assistant or senior administrator/coordinator position within a law firm or in-house operations legal team
Advanced skills and knowledge in the Microsoft Office suite
Knowledge of the legal sector, and a desire to stay up to date on industry changes
Curiosity and drive to explore, learn and master new technology
A proactive approach to identifying and delivering what needs doing
Excellent time management and organisational skills, including the ability to work on multiple tasks or projects at any one time
Strong interpersonal and communication skills
Ability to actively contribute to and work as part of a team
